Billing and Subscriptions

Billing in Flock WP is based on the sites your team actively manages.

What counts toward billing

Flock WP distinguishes between:

  • Managed sites: All sites in the dashboard
  • Active billable sites: Sites currently in active service
  • Paused sites: Sites still listed in the dashboard but not counted as active billable service

This makes it easier to keep your subscription aligned with your actual working inventory.

Billing page overview

The billing screen shows:

  • your current subscription state
  • managed site counts
  • active billable site counts
  • paused and billing-held site counts
  • checkout availability
  • invoice history

If Stripe billing is enabled for your account, you can also open the customer portal and download invoices there.

Trials

Some accounts may be eligible for a trial period. When a trial is active, the billing page shows when it ends and how to convert to a paid subscription before service is interrupted.

Past-due states

If billing needs attention, Flock WP will surface it inside the app so owners can act quickly. Depending on the account state, your subscription may move through:

  • active
  • grace period
  • past due
  • billing hold
  • canceled

The exact payment processing experience is handled through your billing provider, while Flock WP explains the current service state in the dashboard.

What happens during billing hold

When an account is placed on billing hold, sites remain listed but some actions may be restricted until billing is resolved. This protects account integrity while making it clear which sites still belong to the dashboard.

Best practices for agencies

  • Review the billing page after pausing or resuming many sites
  • Use paused service states for inactive clients instead of deleting records immediately
  • Keep owner-level staff aware of expiring trials, failed payments, and invoice history
